Site Formats

A BBS is a table listing every reinforcement bar in a concrete element — bar mark, diameter, shape, length, number of pieces, weight. It's the procurement document for steel and the issue document for steel-fixers. Prepare per IS 2502:1963 (Code of Practice for Bending and Fixing of Bars). Columns: Bar Mark, Diameter (mm), Type / Shape Sketch, Length (mm), No. of Bars, Total Length (m), Unit Weight (kg/m per IS 1786 Table 3), Total Weight (kg). One BBS per element (footing, column, beam, slab) is standard; site uses it to cut + bend rebar before fixing. Total weight from BBS × wastage factor (~3-5%) = procurement quantity.

GRN (Goods Received Note) is filled when material arrives at site — it records the supplier, invoice number, quantity received, quality check status. The storekeeper signs the GRN to acknowledge receipt; the GRN is the basis for raising the bill. MIR (Material Issue Request) or Indent is filled by the site engineer requesting material from stores — element, quantity, date needed. The storekeeper checks bin card, issues against the MIR. Issue Voucher is the storekeeper's confirmation that material was actually issued to the requesting site engineer, with quantity, date, signature. These three documents — GRN, MIR, Issue Voucher — form the audit trail from supplier to site consumption.

RERA Form 5 is the Annual Audit Report that every promoter must file with the state RERA Authority within 6 months of the end of each financial year. It's a Chartered Accountant's certificate confirming that (a) 70% of amounts collected from allottees were deposited into the project-specific escrow account, (b) withdrawals were proportionate to the percentage of construction completion, (c) project finances are healthy. Required per RERA Act 2016 Section 4(2)(l)(D) and state RERA rules. Quarterly progress reports (QPRs) are separate — they're filed every 3 months, covering work done, photos, money received, money spent, expected completion date. Both forms vary by state RERA; MahaRERA, RERA Karnataka, RERA Haryana each have slightly different templates.

A Performance Bank Guarantee (PBG) is a bank guarantee submitted by the contractor securing performance of the contract — typically 5-10% of contract value per CPWD or 5% per FIDIC Red Book Sub-Clause 4.2. Issued by a scheduled commercial bank, valid for the contract period + defects liability period (usually 12-24 months). The Performance BG Tracker format records: BG number, issuing bank, amount, validity from-to, project, contractor, status (live / extended / claimed / released). Common issues tracked: BG expiry (renewal needed 30 days before expiry), claim invocation (during disputes), release after DLP completion. Every contract has a separate PBG — the tracker maintains the portfolio for the PMC / developer.

Price Adjustment (PA) or Escalation compensates the contractor for cost increases over a long-duration contract. The standard CPWD / MoRTH formula breaks the contract into components (cement, steel, bitumen, labour, fuel, others) each with a weightage and an indexed base + current price. Formula: PA = Contract Value × Σ (Weight × (Index_Now − Index_Base) / Index_Base). Indices used: All India WPI for cement / steel (released monthly by Economic Advisor's office), Labour wage rate from CPWD Schedule, RBI fuel index. The Escalation Calculation format does this computation for each Running Account Bill — typically applied after 24 months from contract date or quarterly depending on contract terms. For DSR-based contracts, the analogous concept is star rate for new items not in the schedule.

The Plate Load Test (PLT) is conducted per IS 1888:1982 to determine the safe bearing capacity and settlement characteristics of soil at the foundation level. A steel plate (300mm × 300mm or 600mm × 600mm) is placed at the test depth, loaded incrementally (5 increments to design load + 50%), and settlement is measured at each increment. Output: load-settlement curve, ultimate bearing capacity (load at which curve becomes asymptotic), safe bearing capacity (ultimate / factor of safety, typically 2.5-3). Test is performed for important structures > 3 floors or wherever soil is variable; minimum 2-3 tests per building. The Plate Load Test format records the apparatus, load increments, settlement readings every 5-10 min until stable, and computed bearing capacity.

Under the Right to Fair Compensation and Transparency in Land Acquisition, Rehabilitation and Resettlement Act 2013 (LA Act 2013, also called RFCTLARR Act), Section 4(1) is the preliminary notification that the government intends to acquire land for a public purpose. It triggers the Social Impact Assessment (SIA) under Section 4(2). After SIA, Section 6(1) is the declaration of acquisition. Section 11 is the public notice + objections period. Section 19 is the award (compensation determination). The LA Act notice register tracks each notification (3A under NHAI Act 1956 for highways, or Section 4(1) under RFCTLARR for general acquisition), dates, area notified, objections received, status. Each highway project from NHAI follows the National Highways Act 1956 Sections 3A, 3D, 3G (faster process for highways, ~1 year).

Insulation Resistance (IR) Test checks the integrity of electrical cable insulation by applying a DC voltage (500V or 1000V depending on system voltage) between conductor and earth using a megger instrument. Per IS 732:2019 (Code of Practice for Electrical Wiring Installations), the minimum acceptable IR value is 1 megohm (for low-voltage systems up to 500V) or higher for HV systems. Test is conducted: (a) Before commissioning every new circuit, (b) After any modification, (c) Periodic preventive maintenance — typically annually for industrial, 5-yearly for residential. The IR Test Register records: circuit ID, cable size, voltage, megger reading at 1 minute, polarisation index (10-min reading / 1-min reading — > 2 is good), pass/fail, signed by electrical engineer.

The format structure (table columns, sections, signoff blocks) is universally applicable to any civil construction project. The specific code references (IS, IRC, CPWD, RERA, BOCW) are India-specific. For projects using ASTM, BS, EN, or FIDIC-based contracts internationally, replace the IS code references with the contract-specified standards (e.g., "per IS 456" becomes "per ACI 318" or "per BS 8110"). The pour card, BBS, GRN, level book, traverse register, bore log, plate load test structures are independent of jurisdiction. Tendering formats (BOQ, IPC) follow CPWD format but the FIDIC-style equivalents are very similar. RERA formats are India-specific (no direct international equivalent).
